Record the safety paperwork
RAMS, inspections and the actions that come out of them are recorded as they happen, and Estimark holds the record rather than the verdict. A method statement is versioned, and each operative signs the version they were shown. Items on a legal inspection cycle sit in one list with the regulation and the interval on each: scaffolding every seven days under regulation 12 of the Work at Height Regulations 2005, an excavation at the start of every shift under regulation 22 of CDM 2015, lifting equipment on its LOLER 1998 thorough examination cycle. Anything raised on site becomes an action with a name against it and a date to be done by.

What is a RAMS, and how do you keep the versions straight?
A RAMS is the risk assessment and method statement for a task: what could hurt somebody, and how the work is sequenced so it doesn’t. Estimark versions each one and keeps an acceptance register beside it, so an operative signs the version they were actually shown. Issue a revision and it starts with no signatures, because inheriting yesterday’s would be a record of something that never happened.

How do you keep a scaffold inspection record?
You put the scaffold on the statutory inspections list and record each inspection against it. The list sorts the most urgent first and shows, per item, where it is, who inspected it last, when the next one falls due and the regulation setting the interval. Regulation 12 of the Work at Height Regulations 2005 sets no more than seven days between inspections of a working platform in construction work from which somebody could fall more than two metres, plus an inspection after anything that could have affected its stability. Estimark counts the days and flags the item red once it is past due. The history stays with the item.

Who is fixing the thing somebody flagged?
Whoever’s name is on the action. A near miss or an observation becomes a safety action with an owner, a due date and a priority that goes up to stop work. Closing it takes two people: one marks it done, a second verifies it. Overdue actions are counted at the top of the screen and shown in red, so nothing quietly ages.

What else is held against the site?
Inductions and toolbox talks against the person and the site. Permits to work, COSHH assessments and the asbestos register against the site, so they can be produced on request. Near misses, safety observations and accidents reportable from a phone. And a fire register whose muster roll reads off live attendance, so it lists who is on site now rather than who signed in this morning.

What this step does not do
- Estimark records evidence, dates and names. It doesn’t certify that you’re compliant and it doesn’t sign anything off on your behalf. The duties stay with the duty holders.
- An F10 notification can be recorded against a project. Estimark doesn’t submit it to the HSE for you.
- Inspection intervals ship as defaults matching the regulations named on the screen. Checking that the right cycle is on the right item is still a job for a competent person.
