Reactive maintenance software for UK housing repairs

A tenant rings up about a leak. Estimark’s Reactive Maintenance module logs it against the property, not against a name in a notebook, and works out the response and completion deadlines from the priority you give it at triage. Then it records who it went to and what they did. It’s a bolt-on priced to the stock you manage. Local authorities, housing associations and the contractors holding their repairs contracts are who it’s built for.

What the Reactive Maintenance module does

  • Holds a property register: reference, address, postcode, property type and the landlord client. Repairs get raised against that, not against a free-text address.
  • Works out the response and completion deadlines from the priority you set at triage.
  • Ships Awaab’s Law presets for damp and mould and for emergency hazards, so neither gets quietly logged as routine.
  • Gives every property its own unguessable link to a public reporting form. The tenant needs no login.
  • Assigns a repair to a subcontractor or a named operative, and records who it went to and when.
  • Links a repair to a job and to an invoice, so the repair, the work and the money are one chain.
  • Fifteen repair categories, from damp and mould through heating and drainage to communal areas.

What SLA timescales does Estimark apply to a repair?

Two deadlines come off the priority you set at triage: one to respond, one to finish. There are four priorities, each with a default pair of targets counted in hours from the report.

NoteThese are defaults, lined up with the repair categories most UK social-housing contracts use. The due dates get stored on the repair. Estimark doesn’t yet send you an alert when one goes past, so you’ll still be reading the overdue list yourself.

How does Estimark handle Awaab’s Law?

Awaab’s Law, made under the Social Housing (Regulation) Act 2023, puts statutory timescales on hazards reported in social housing. Two presets ship with the module. Pick one at triage and it sets the recommended priority and both windows for you.

  • Emergency hazard: investigate and make safe within 24 hours of the report. The preset recommends Emergency priority and sets both windows to 24 hours.
  • Damp and mould: investigate within 10 working days, and where the investigation identifies a significant hazard, complete the relevant safety work within 5 working days of the investigation being completed. The preset recommends Urgent priority.
  • The statutory wording sits on the preset, so whoever picks up the repair in three weeks can see why the date is the date.
  • Both categories sit at the top of the triage list. That’s the practical guard against a damp report going in as routine.

NoteThe due dates are wall-clock, not working-day. A 10 working day window is held as 240 hours, so bank holidays and weekends aren’t taken out. Check the presets against your own working calendar before you lean on them contractually.

Can residents report a repair themselves?

Yes. Every property gets an unguessable token, and that token is a public reporting URL. No account, no password, nothing for the tenant to remember.

  • A resident submission arrives with status "reported" and reported_via set to "resident portal", so staff-raised and tenant-raised work are distinguishable in reporting.
  • The form captures the reporter’s name, contact details, a description, a photo and access notes.
  • A resident report arrives with no priority on it. Your team sets that at triage, and that’s when the SLA clock starts.

How does a repair turn into money?

A repair carries a cost, and it links to a job and then to an invoice. Add the Schedule of Rates bolt-on and the repair gets measured in SOR lines rather than one lump figure. Each line takes a copy of its code, description, base rate and uplift at the moment you measure it.

  • Repair, then job, then invoice, with the repair number carried the whole way.
  • With Schedule of Rates, the billable record is a set of SOR lines: quantity × base rate × (1 + uplift %).
  • With Van Stock, parts consumed are booked to the repair, so material cost is recorded rather than estimated.

How much does Estimark reactive maintenance cost?

priced on a quote on top of your Estimark plan. It’s a paid bolt-on, so no plan bundles it and neither does the free trial. Somebody has to switch it on for your company.

Does Estimark meet Awaab’s Law?

Estimark ships Awaab’s Law presets for damp and mould and for emergency hazards. They set the recommended priority and the statutory investigation and works windows on the repair, and keep the statutory wording next to them. Meeting the law is still your job. The software holds the deadline and the evidence. It doesn’t do the work.

Can it handle repairs reported by tenants?

Yes. Each property has a public reporting URL behind an unguessable token. A tenant can send in a description, a photo and access notes with no account at all, and the ticket is flagged as coming from the resident portal so you can tell it apart from staff-raised work.

Is reactive maintenance the same as a planned maintenance contract?

No. Reactive maintenance is demand-led repairs against a property register with priority SLAs. Recurring planned maintenance contracts are a separate part of Estimark and do not require this bolt-on.

Do I need the Schedule of Rates module as well?

Only if your contract is priced against an SOR. On its own, Reactive Maintenance records one cost figure per repair. If you’re invoicing a social landlord against NHF-style codes, that won’t pass, and you’ll need Schedule of Rates as well.
