This module runs a void through eight stages, from the tenancy-end notification to the day it’s let again. What the Void Management module does

  • Runs a void through eight stages: notified, keys received, inspected, works in progress, works complete, ready to let, let, cancelled.
  • Stamps a date at every stage, so the fortnight between inspection and anybody starting on site is there in black and white.
  • Counts days void from keys received to let, or to today if the place is still standing empty.
  • Holds a target turnaround in days, 21 by default, and flags the void once it goes past.
  • Classes the void as minor, standard or major, so a clean and a touch-up don’t get averaged in with a full refurb.
  • Keeps estimated cost alongside actual cost on the same record.
  • Lists the works schedule line by line with trade, cost, an SOR code and a completion flag.

How is void turnaround time calculated?

From the keys-received date to the let date. If it isn’t let yet, the count runs to today, so a live void climbs on its own with nobody touching the record. Compare that against the target days on the void, 21 by default, and you’ve got the overdue flag.

What stages does a void go through?

Eight, each with its own date field. They’re the operational stages rather than a generic workflow, because a void almost always loses its days in the gap between two particular ones.

How is the void works schedule priced?

Each line carries a description, a trade, a cost and an optional SOR code, because void works usually get priced against the same schedule as responsive repairs. Lines are ticked off one at a time with a completion date. That way "works complete" is something the schedule can prove, not something the site said on the phone.

  • Estimated and actual cost sit next to each other on the void record. Variance is a subtraction, not a report somebody has to build.
  • SOR codes on void lines mean the same rate set covers repairs and voids.
  • Minor, standard and major keep your average turnaround honest, because you’re comparing like with like.
