"Nobody told me you were coming." This module is how you stop hearing that. Six kinds of message go out to a customer or tenant by text or email: appointment confirmed, reminder, on my way, no-access card, completed, and a satisfaction ask. Every one is logged against the appointment with the recipient, the exact body, the send time, whether it landed, the provider reference and any error. It brings the appointment diary too: a named operative, a date, and a booking window. It’s £29 a month.
What the Customer Comms module does
- Books an appointment against a repair, a job or a plain client, with a named operative or subcontractor.
- Books by window rather than to the minute: morning 8am to 1pm, afternoon 12pm to 5pm, all day 8am to 5pm, school-run friendly 9:30am to 2:30pm, or a timed slot if you want one.
- Moves an appointment through proposed, confirmed, en route, arrived, completed, no access, cancelled and rescheduled, timestamping each transition.
- Records a no-access with a reason and a link to the evidence. Around one visit in ten fails on the door, and an unevidenced one is a visit you can’t charge for.
- Sends six message kinds over SMS or email and stores the exact body that was sent.
- Keeps a delivery trail: delivered flag, provider reference, error text. That’s the list a housing client asks to see at contract review.
- Sets an appointment duration in minutes, taken from the SOR item’s SMV where one is available.

What messages can Estimark send a customer?
Six kinds. Each one is its own record against the appointment, so the history reads back as a conversation.

NoteMessages go out from the appointment, not from a scheduler running in the background. Somebody on your team triggers them. Estimark records what happened next.
Why book by window instead of by time?
Because that’s how customers think. Nobody who has to be at the school gate at three cares whether you said 11:15 or 11:30, they care whether you’ll be gone by half two. So the four windows people actually ask for ship as windows, including 9:30am to 2:30pm. Try representing that in a diary that only understands start times.
How is a failed visit recorded?
As a no-access appointment with a reason and a link to the evidence, usually a photo of the card through the door. There’s money in this. On most repairs contracts you only get paid for a failed visit if you can show you made it, and you can only argue about it later if somebody logged it on the day.

Customer Comms is a paid bolt-on. It isn’t bundled with Pro, Enterprise or the free trial, so somebody has to switch it on for your company on top of whatever plan you’re already on.

Customer Comms: frequently asked
How much is Estimark’s customer comms module?
£29 a month on top of your Estimark plan. It’s a paid bolt-on, switched on separately, and it works on any plan.
Can I send an “on my way” text to a customer?
Yes. When an operative marks themselves en route, an "on my way" goes out by text or email. Estimark keeps the exact wording that was sent, who it went to, when, and whether it arrived.
Is there a delivery audit trail?
Yes. Every message records the channel, the recipient, the body, the timestamp, a delivered flag, the provider reference and any error that came back. That’s what a housing client asks for at contract review.
Are SMS charges included in the £29?
No. The £29 covers the module itself. Texts go out through a messaging provider configured against your account, and you pay that provider for the messages.
Does this include a customer self-service booking page?
No. Your team books the appointments. A tenant can report a repair themselves through the resident portal in Reactive Maintenance, but they don’t choose their own slot.
