A client portal that answers “how’s it going?”

Your client gets a secure link, with no account to set up, showing job progress and milestones, whichever photos you’ve marked client-visible, recent diary entries, the RFIs addressed to them, variations, and documents they can download. From there they can sign a quote or decline it, ask for a variation, and report a warranty defect. It cuts down the Friday afternoon phone calls. What the Client Portal module does

  • Issues a portal token per quote, revocable, with last-accessed tracking and an access log.
  • Shows the quote with its line items, and accepts a signature to accept it or a reason to decline it.
  • Shows job progress and milestones once the quote is a job.
  • Shows only the photos individually marked client-visible.
  • Shows recent site diary entries and RFIs addressed to the client.
  • Lists variations and accepts a client-submitted variation request.
  • Lists and serves client-visible documents for download.
  • Accepts a warranty defect report during the defects liability period.

Client Portal: how it works

Do clients need an account to use the portal?

No. Access is a unique link issued per quote, and you can revoke it. Every visit is logged with a last-accessed time. Client portals usually die because the client can’t find the password, so there isn’t one.

What can the client actually see?

Only what you’ve chosen to show. Photos each carry their own client-visible flag, documents carry their own, and diary entries and RFIs are served individually rather than published in bulk. It’s a window onto the job, not a copy of your workspace.

Can clients pay through the portal?

No, and that’s on purpose. You can show the invoice, but taking your customer’s money through Estimark is switched off. As things stand it would settle into our account before it reached yours, and that makes us a payment intermediary. Send the invoice, take the money through your own bank or card terminal, then record it here so your books and your accounting sync still agree.

Which plan includes the client portal?

It’s included from Core up. On a lower plan you can switch it on by itself for £19 a month.

Can clients pay an invoice through the Estimark portal?

No. Collecting money from your customer is switched off on purpose, because right now it would land in our account before yours. Show them the invoice, take the payment through your own bank or card terminal, and record it in Estimark.

Can a client sign a quote online?

Yes. The portal shows the quote and its line items, takes a signature to accept, or a reason if they’d rather not. Quote signing is part of the core product, not a paid module.

Is the portal branded?

It goes out under your company’s Estimark presence. Full white labelling is a separate conversation, so ask us what’s available on your plan.
