Supplier records that make spend answerable

A supplier database with an approved flag, a performance rating, payment terms in days, your account reference, a category, and as many named contacts as the merchant has. What the Supplier Management module does

  • Holds supplier name, contact, email, phone, full address, website and account reference.
  • Holds payment terms in days, so the due date comes out of the order date rather than a guess.
  • Classifies suppliers into five categories: materials, services, utilities, equipment and other.
  • Flags a supplier as approved and carries a performance rating with notes.
  • Stores multiple contacts per supplier with name, role, email, phone and a primary flag.
  • Carries Xero and QuickBooks contact references so pushed bills are traceable.
  • Links to purchase orders and stock items, so the spend and the parts it bought aren’t in two places.

What is an approved supplier list and why keep one?

The suppliers you’ve vetted and will let your buyers order from. A list like that only bites if it lives where the orders get raised. The approved flag sits on the record the PO points at, so an order to somebody unapproved shows up instead of going through unnoticed.

How does supplier data feed spend analysis?

Purchase orders point at the supplier record and carry values and categories at line level, so spend by supplier, by category and by job all come off the orders. The payment terms on the supplier then turn an order date into a date you expect to pay.

How does this relate to van stock?

A stock item can name its supplier, so a part under its reorder level already knows where it comes from. Van Stock is a £99-a-month bolt-on and runs alongside this one.
