An engineer drives to a call-out and the fitting isn’t on the van. That’s the problem this solves. Van Stock holds quantity on hand for every stocked part at every van, store and site, and writes each movement as a ledger entry you can’t edit, so levels are worked out from the movements rather than typed in by hand. The other half of it is money: parts get booked to the job they went on, at cost, instead of being guessed at month end. It’s £99 a month.
What the Van Stock & Inventory module does
- Stock locations come in three types, van, store or site, and a van can be tied to a driver and to a vehicle record.
- Holds a parts catalogue with SKU, name, unit, unit cost and supplier. SKUs are unique per company.
- One stock level row per location and item, so "what’s on Dave’s van" is a question you answer at a screen, not a Saturday morning counting boxes.
- Records five movement types: receipt, issue, return, transfer and adjustment.
- Books an issue against a job or a repair, so material cost on that job is a real figure.
- Carries a reorder level per item. Drop below it and the part turns up on the reorder report.
- Puts unit cost on the movement, so what you used is valued at what you paid for it.
- Stamps every movement with who created it and an optional reference and note.
Van Stock & Inventory: how it works
How does Estimark track stock on a van?
A van is a stock location. Each item at that location has a row holding its quantity, and nothing changes that quantity except a stock movement, which is a ledger entry nobody can edit afterwards. Levels come out of the movements. So when the numbers don’t add up, there’s a trail to walk back.

How does van stock make job costing accurate?
An issue movement carries a job or repair reference and a unit cost, so the parts fitted land at cost against the work they went into. Without that link, material cost is whatever somebody remembered to type in. That’s the usual reason a job looked profitable and wasn’t.
- Issue movements link to a job or to a reactive repair.
- Unit cost sits on the movement as well as the catalogue item, so a price rise in March doesn’t quietly revalue what you fitted in January.
- Pairs with the Job Costing module, where material becomes one of six cost categories against the budget.
Can stock be moved between vans?
Yes. A transfer records where it left and where it went, so a fitting handed from one van to another leaves a mark at both ends instead of vanishing off one and turning up on the other.
How do reorder levels work?
Each catalogue item carries a reorder level as a whole number. Fall below it and the item appears on the reorder report. The level belongs to the part, not the van, so it’s set once per item.

Van Stock & Inventory: frequently asked
How much is van stock software from Estimark?
£99 a month on top of your Estimark plan. It’s a paid bolt-on, switched on separately, and it works on any plan.
Can electricians use it to track cable and accessories on the van?
Yes. Every item has its own unit (each, metre, box) and its own unit cost, and levels are held per van. An issue movement books what you used to the job you used it on.
Does it do barcode scanning?
Not yet. Items carry a SKU that’s unique to your company, and movements get recorded in the app. There’s no barcode scanner integration for stock movements at the moment.
Does van stock link to the vehicle records in Fleet Management?
Yes. A location of type "van" can point at a company vehicle record, so the van carrying the stock is the same van carrying the MOT date and the daily checks.
Does it work offline?
Yes. Estimark installs as a progressive web app and has an offline field mode, so a van check in an underground car park saves on the phone and sends itself. Native apps for iPhone and Android are on the way, and neither is on a store yet.
