£19/mo · included from ProFleet management for vans that earn their keep
A van fails its MOT on a Tuesday and two lads have nowhere to be. Every vehicle sits here by registration with its MOT expiry, insurance expiry, next service date, service interval in miles and current mileage. Mileage goes in per trip, against a job. Drivers record a six-point daily check with a pass or fail and any defects they’ve spotted. Included from Pro up.
What the Fleet Management module does
- Registers vehicles by registration with make, model, year, colour and vehicle type.
- MOT expiry, insurance expiry and next service date are held as dates, so you can pull a list before any of them lapse.
- Tracks current mileage and a service interval in miles alongside the date-based service.
- Assigns a driver to a vehicle.
- Logs mileage per trip: date, start and end mileage, driver, purpose, and the job if there is one. Business mileage then has a name and a reason against it.
- Records a driver daily check covering oil, water, tyres, lights and brakes, with an overall pass and free-text defects.
- A van stock location can point at the vehicle, so the van carrying the stock is the same van carrying the MOT date.
Fleet Management: how it works
What is a driver daily check and why record it?
A walkaround before the driver sets off. Estimark records five items (oil, water, tyres, lights and brakes) plus an overall pass or fail, the driver’s name, the date, and anything they’ve flagged. The reason to keep it as a dated record is simple. If a defect turns into an incident, the record is what shows somebody reported it beforehand.
How does Estimark handle MOT and service reminders?
MOT, insurance and next service are stored dates on the vehicle. Mileage-based servicing runs off a service interval in miles against the current reading. They’re dates on a record rather than notes in a diary, so what’s coming due is a list you can pull on a Monday morning.
Does Estimark track vehicles live?
No. It’s a record system: vehicles, compliance dates, mileage, checks. No GPS telematics, no live tracking, no route optimisation.

Questions
Fleet Management: frequently asked
Which plan includes fleet management?
It’s included from Pro up. On a lower plan it’s £19 a month on its own.
Does Estimark include vehicle GPS tracking?
No. It records vehicles, compliance dates, mileage logs and daily checks. There’s no live GPS telematics and no route optimisation.
Can I link van stock to a vehicle?
Yes. A van stock location can reference a company vehicle, so the stock on board and the van’s own MOT, service and check history belong to one asset. Van Stock is a £99-a-month bolt-on.
