Workforce
£15/mo · included from SoloTimesheets that turn hours into job cost
Hours go against a job and a worker with an hourly rate, and the labour cost falls out of the two. Every entry carries an approval flag and the name of whoever approved it. Entries are marked labour, plant or other, so the timesheet feeds job costing as well as payroll. Included from Solo up.
What the Timesheets module does
- Books hours to a specific job and date, against a user or a named worker.
- Holds an hourly rate on the entry and computes labour cost as hours × rate.
- Categorises each entry as labour, plant or other.
- Records who approved it, so an approved entry has a name on it.
- Carries a description, a reference and notes, because payroll and the client both come back asking.
- Can be created automatically from a QR clock-on and clock-off at the site gate.
Timesheets: how it works
How do hours become a labour cost on the job?
Hours times rate, and both live on the entry. The entry also carries the job and a cost category, so the figure lands on the job instead of disappearing into payroll. You see this week’s labour cost this week, rather than in April when the accountant has finished.
Can timesheets be created from site attendance?
Yes. An operative scans the job’s QR code to clock on and off, and the scan is checked against a GPS radius. The attendance record then writes the timesheet entry itself. Most firms end up here, because the timesheet nobody has to remember on a Friday afternoon is the one that’s actually right.
Does Estimark run payroll?
No. It exports approved hours in a form payroll can use. It isn’t a payroll bureau, it doesn’t work out PAYE or NI, and it doesn’t file RTI. It’s the record your payroll runs off.

Questions
Timesheets: frequently asked
Which Estimark plan includes timesheets?
It’s included from Solo up. Hours, rates, approval and the payroll-ready export all come with it.
Can operatives clock on with their phone?
Yes. Every job can carry a QR code. Scanning it clocks the operative on or off, with a GPS distance check against the site, and the attendance record becomes a timesheet entry. That happens in the web app, which installs to the home screen. Native apps for iPhone and Android are on the way, and neither is on a store yet.
Does Estimark do payroll and RTI?
No. It records hours, approves them and exports them ready for payroll. It doesn’t calculate PAYE, doesn’t run payroll and doesn’t file RTI.
