CSCS card and qualification tracking

An operative turns up on Monday with a CSCS card that expired on Friday, and the principal contractor turns him away. This module is how you see that coming. It holds a worker register and tracks 21 named qualification types per worker: CSCS, CPCS, SMSTS, SSSTS, IPAF, PASMA, Gas Safe, 18th Edition, C&G 2391, face fit and the rest. Each one carries a card number, issue and expiry dates, and the certificate itself. The versioned health and safety policy register lives here too. Included from Pro up.

What the Training & Qualifications module does

  • Keeps a worker register with name, job title, contact details and an optional link to an employee or a user account.
  • Holds the 23 qualification types by name rather than as free text, so "who’s got SSSTS" is a question you can actually ask.
  • Holds card number, issue date, expiry date and notes per qualification, plus the uploaded certificate document.
  • Stores a CSCS verification timestamp, status and the raw verification response.
  • Warns you before a qualification runs out, so you find out in the office rather than at somebody else’s gate.
  • Drives the site attendance gate, so a QR clock-on can be checked against the qualification records.
  • Versions health and safety policies with an issue date, review date, issuer and change notes, keeping one current version per policy group.

Training & Qualifications: how it works

Which qualifications does Estimark track by name?

Twenty-three. They’re the ones a UK principal contractor actually asks to see at the gate.

  • Cards and schemes: CSCS, CPCS, NPORS, ECS.
  • Site management: SMSTS, SSSTS, CITB HSE test.
  • Access and plant: IPAF, PASMA, abrasive wheels.
  • Trade competence: Gas Safe, 18th Edition, City & Guilds 2391.
  • Health and safety: first aid, fire marshal, face fit, manual handling, working at height, confined space, plus "other" for anything not listed.
  • Asbestos, as three separate types rather than one: awareness, non-licensable work and licensable work. They carry different refresher expectations, and Estimark shows you which is which on the record.

How does qualification tracking gate site access?

Scan a job QR code to clock on and Estimark can check the operative’s induction, their qualifications and whether they’ve accepted the RAMS. Three modes: off, warn, block. It ships set to off. Enforcement is a call you make site by site, not something a two-man firm gets landed with.

What happens before a card expires?

You get an alert as the expiry date comes up. The date sits on a typed qualification record rather than in a column of a spreadsheet somebody last opened in March, so who’s about to lapse is one list you can pull.

Questions

Training & Qualifications: frequently asked

Which plan includes qualification tracking?

It’s included from Pro up. On a lower plan it’s £12 a month on its own.

Can Estimark stop an operative with an expired CSCS card clocking on?

Yes, if you’ve set the gate to block. It checks induction, qualifications and RAMS acceptance at QR clock-on, and you choose off, warn or block per company. Out of the box it’s off.

Can I store the certificate itself?

Yes. The uploaded document sits on the qualification record next to the card number and the dates, so the evidence and the expiry date aren’t in two different places.

Does Estimark check CSCS cards against the scheme?

A qualification record holds a CSCS verification timestamp, a status and the raw response that came back, so the result is on the card record rather than in somebody’s memory.
