Subcontractor register and priced RFQ returns

What the Subcontractor Management module does

  • Registers subcontractors with trade, contact details, approval status, approval date, performance rating and notes.
  • Holds CIS data on the subcontractor: registered flag, UTR, verification number, verification date, tax treatment and whether HMRC verified.
  • Stores accreditation numbers, and tracks insurance policies and accreditations with cover amount, excess, start, expiry and renewal dates and a verification flag.
  • Raises numbered RFQs against a tender or a quote with a title, description, due date and line items.
  • Invites subcontractors to an RFQ and tracks each invitation through invited, sent, responded, accepted and declined.
  • Each invitation gets its own portal link, so a subbie can price the RFQ without an Estimark account.
  • Receives returns priced line by line against the RFQ’s own line items, plus a total.
  • Carries Xero and QuickBooks contact references for pushed bills.

How does an RFQ work in Estimark?

Raise a numbered RFQ against a tender or a quote, with its own line items and a due date, then invite the firms you want. Each invitation carries a link that lets them price it. What comes back is prices sitting against your line items. Nobody re-keys a PDF, and you can compare three returns without wondering whether you’ve read them the same way.

How is subcontractor insurance tracked?

As policies against the subcontractor, each with a type, a provider, a policy number, cover amount, excess, start, expiry and renewal dates, and a verified flag. Accreditations work the same way: scheme, reference number, status, award date, expiry. Both hold the document itself.

How does this connect to CIS?

The subcontractor record carries the whole CIS position: registered or not, UTR, verification number, verification date, tax treatment, and whether HMRC actually verified them. That’s what decides the deduction rate when you raise a payment through the CIS module.
