What the Custom Forms module does
- Nine field types: text, long text, number, date, select, multi-select, checkbox, photo and signature, plus section headings.
- Conditional logic on any field: show this question only when an earlier answer matches a given value.
- Attaches a form to one of five entity types: job, repair, property, void, or standalone.
- Mark a form required and the job or repair it belongs to won’t close until somebody has filled it in.
- Versions form definitions, and snapshots the schema onto each submission so historical records render exactly as they were completed.
- Records who submitted, when, and a signature image against the submission.
- Retire a form by marking it inactive. The submissions that used it stay put.
Custom Forms: how it works
What can I build with custom forms?
Anything that comes down to questions with an answer, a photo or a signature. A pre-start check. A plant inspection. A handover sheet, a client sign-off, the odd test sheet one contract insists on and nobody else has ever asked for. You build it in an afternoon rather than raising it with us and waiting for a release.
- Every field has a key, a label, a type, a required flag and an optional show-if rule.
- A show-if rule names another field and the value it has to match.
- Section fields group a long form into readable blocks on a phone.
What happens to old submissions when I change a form?
Nothing happens to them. Each submission holds its own copy of the form and the version number it was completed against. Edit the live form and you create a new version for everything filled in from then on. Records already in the system keep showing the questions that were actually put to somebody, which is the only way a form builder is any use as evidence.
Can a form be made mandatory before a job is closed?
Yes. Mark it required and the job or repair won’t close until it’s done. That’s how the commissioning sheet or the client signature gets caught on the day, rather than chased for a fortnight afterwards.

Custom Forms is a paid bolt-on. It isn’t bundled with Pro, Enterprise or the free trial, so somebody has to switch it on for your company on top of whatever plan you’re already on.

Custom Forms: frequently asked
How much do custom forms cost in Estimark?
£49 a month on top of your Estimark plan. It’s a paid bolt-on, switched on separately, and it works on any plan.
Can a form capture a customer signature on site?
Yes. Signature is one of the nine field types. The submission keeps the signature image next to the answers, along with who filled it in and when.
Do custom forms replace Estimark’s certificates and RAMS?
No. Electrical and gas certificates and RAMS have their own rules and their own sign-off, and they live elsewhere in the product. Custom Forms picks up everything they don’t cover: the checklists that change from firm to firm and contract to contract.
Can forms be completed on a phone with no signal?
Yes. Estimark installs as a progressive web app and has an offline field mode, so a form filled in with no signal is saved on the device and sent when it comes back. Native apps for iPhone and Android are on the way, and neither is on a store yet.
